Information we collect

We may collect:

Parent, guardian or adult-student names and contact details.

The student’s name, date of birth, school, curriculum and grade.

Requested subjects, lesson dates, preferred times and scheduling information.

Existing student-account information.

Quotations, agreements, payment and accounting references.

Lesson attendance, cancellations, timetable changes and related communications.

Student-profile, library-access and educational information supplied during tuition.

Application history and technical records needed to protect the website and accounts.

Why we use this information

We use personal information to:

Respond to lesson enquiries and assist applicants with registration.

Confirm the identity and authority of the responsible adult.

Check lesson availability and prepare fee estimates and quotations.

Create and administer tuition agreements, lesson schedules and student accounts.

Record payments, refunds, attendance, cancellations and timetable changes.

Provide lessons, student-library access and related educational services.

Communicate with parents, guardians and students about registration and tuition.

Maintain accounting, contractual, security and legally required records.

Protect the rights and legitimate interests of WRMStudio, students and families.

Information about children

Where the student is under 18, the person completing the registration confirms that they are the student’s parent, legal guardian or another competent person legally authorised to provide the student’s information and make decisions on the student’s behalf.

Providing information

Information marked as required is necessary to assess and process the lesson request. If it is not provided, WRMStudio may be unable to check availability, issue a quotation, enter into a tuition agreement or provide lessons.

Sharing and service providers

Personal information may be made available only to authorised WRMStudio personnel and service providers needed for website hosting, security, email delivery, online lesson delivery, accounting, backups and technical support. These providers must process the information only for the authorised purpose and with appropriate safeguards.

Information may also be disclosed where required by law, a regulator, court order or for the establishment, exercise or defence of a legal claim.

Where a service provider processes information outside South Africa, WRMStudio will apply the safeguards required by POPIA.

WRMStudio will not use registration information for unrelated electronic marketing without separate consent.

Security and retention

WRMStudio takes reasonable technical and organisational measures to protect personal information against loss, unauthorised access, alteration or disclosure.

Information is retained only for as long as reasonably necessary for the application, tuition relationship, accounting and legal obligations, dispute resolution and security. It will then be securely deleted, destroyed or de-identified where continued retention is not required.

Your rights

You may contact WRMStudio to:

Ask what personal information is held about you or the student.

Request access to or correction of inaccurate information.

Object to processing or withdraw consent where consent is the legal basis.

Request deletion where WRMStudio is not legally or contractually required to retain the information.

Raise a privacy concern or complaint.

Withdrawing consent does not affect processing that was lawful before withdrawal and does not require WRMStudio to delete records that must be retained by law or for legitimate contractual or legal purposes.
